We are seeking a highly organized and dynamic Technical Division Coordinator to join our Facility Management team. This pivotal role involves a blend of administrative duties, data management, coordination, and client interaction, making it ideal for individuals who thrive in fast-paced environments and are keen on contributing to the smooth operation of our technical services.

Key Responsibilities:

  • Administrative Support: Manage day-to-day administrative tasks to ensure efficient operation of the technical division.
  • Data Management: Accurately enter and maintain requests in our Computer-Aided Facility Management (CAFM) and Customer Relationship Management (CRM) systems. Monitoring of Planned Preventive Maintenance programs
  • Team Coordination: Serve as the central point of contact for our team of technicians, facilitating effective internal communication and task allocation.
  • Client Communication: Directly engage with our low-volume clients to understand their needs, provide updates, and ensure customer satisfaction.
  • Offer Management: Prepare and issue detailed offers to clients, and evaluate incoming offers from our supply chain to secure the best terms and services.
  • Tenders Assistance: Support the tendering manager in preparing and managing major Requests for Proposals (RFPs) and tender documents, contributing to the company’s competitive positioning.
  • Reporting: Regularly report to the Technical Director, providing insights and updates on division activities, challenges, and achievements.

Qualifications:

  • Proficiency in English and strong communication skills.
  • Master degree in Mechanical or Electrical Engineering will be appreciated but is not required.
  • Advanced knowledge of Microsoft Excel, PowerPoint, and Office Suite.
  • Proven ability to manage multiple tasks and priorities effectively.
  • Previous experience in a similar role within a technical or facility management environment is highly desirable.
  • Technical background, relevant certification, or experience in a similar position will be considered an additional asset.
